ASU staff and faculty: Volunteer to help with Convocation!
The Fulton Schools Convocation days and times have been secured, and we need volunteers! If interested, please read through the below before selecting your desired role.
Ceremony dates and times
Graduate Maroon Convocation
Thursday, May 15, 2025, 9:00 a.m.
Desert Financial Arena
Maroon ceremony is for graduates from programs in SBHSE, SCAI, MSN and SIE.
Undergraduate Convocation
Thursday, May 15, 2025, 7:30 p.m.
Mountain America Stadium
Engineering Undergraduate Convocation (Bachelor’s)
Graduate Gold Convocation
Saturday, May 17, 2025, 2:00 p.m.
Desert Financial Arena
Maroon ceremony is for graduates from programs in ECEE, SEMTE, SSEBE, and TPS.
Volunteer polo shirt
Engineering convocation polos are given to all volunteers working a ceremony. If you have one from a previous ceremony, you will not be given another one.
Volunteer meal
All volunteers will be provided with a hot meal at the venue before their shift. If you are volunteering for both ceremonies, you will receive two meals. Water will be available in large dispensers – please bring an empty water bottle with you!
Volunteer Training (required)
Volunteer training for all volunteer roles will be on Friday, May 9 from 10–12 a.m. in BYENG 660 or Zoom. Please hold the time on your calendars and a formal meeting notice will be sent about one week prior to all registered volunteers.
How to volunteer
We use a volunteer platform called VolunteerLocal to manage volunteer roles and responsibilities. Volunteers must register, but only once.
Returning volunteers
If you have registered VolunteerLocal previously, you can proceed to register for the roles on the FSE Volunteer Landing Page now.
New volunteers
Please follow the steps below to complete the very short volunteer application.
Be prepared to provide the following information:
- ASU email
- First name, last name
- Classification (staff, student, faculty, etc.)
- If you are a student and student worker, your classification is student.
- Fulton Schools unit
- All FSE units are listed using an abbreviation (ECC=Engineering Career Center, LTH=Learning and Teaching Hub, etc.). If you are not part of FSE, you can select “other” and type in your unit.
- Mobile phone number
- Note: You will be given the option to consent to text messages. We encourage you to give your consent so if you are volunteering at an event and there is an emergency it can be quickly communicated. Or, if there is a last-minute time change you can be notified via text rather than referencing your email.
- T-shirt size
- Not all volunteering opportunities will come with a shirt. Should a role come with one, we will use the size you indicate in your volunteer profile.
- Dietary restrictions
- Not all volunteering opportunities come with food. Should a role include food, we will accommodate the dietary restrictions you indicate in your profile.
Ready? Create your profile
Once your profile is completed and approved (please allow up to 72 business hours), you will receive an email and proceed to view and register for volunteer roles.
Within your profile, you can track your volunteer hours and modify/cancel registered shifts.
Volunteer role descriptions
All roles are to be filled by staff or faculty. Student workers need prior approval.
Diploma cover stuffing
Diploma Cover Stuffing includes stuffing over 2,000 diploma covers with our custom made congratulations message. Snacks, music and a good time are provided! This role does not come with a volunteer polo.
Graduate check-in
Graduate Check-in volunteers staff the check-in tables and manage the flow where graduates arrive before entering to take their seat. New this year, you will guide students on using their electronic GradPass for check-in and to have their name read as they cross the stage. This area does get busy and congested so if you are uncomfortable in tight spaces then this role is probably not for you.
Pre-ceremony grad seating
Pre-ceremony grad seating volunteers guide graduates to their seats after check-in but before the ceremony begins. This role gives you a chance to hang out with graduates and congratulate the ones you personally know!
Faculty room
Faculty Room volunteers staff the faculty room and check-in the stage party, hand out necessary supplies, and manage the flow in the room. They also help lineup the stage party before walking them to the field for the processional.
Stage team
Stage team volunteers will be on stage for the duration of the ceremony managing the flow of graduates on and off stage. You will be assigned a specific role during stage training, which takes place right before the ceremony. New: Diploma covers are not handed out by the stage team, but by the floor team.
Floor team
Floor team volunteers will be on the field at the start of the ceremony until the conclusion of the ceremony. You will guide graduates on and off stage and manage diploma cover distribution. There’s no better view of the ceremony then being in the middle of it!
