ASU staff: Volunteer to help with Convocation!
The Fulton Schools Convocation days and times have been secured, and we need volunteers!
Ceremony dates and times
Sign up to assist at one or more Fulton Schools ceremonies:
Graduate Maroon Convocation
Saturday, May 9, 9 a.m.
Desert Financial Arena
Maroon ceremony is for graduates from programs in ECEE, SSEBE, SEMTE and TPS.
Graduate Gold Convocation
Saturday, May 9, 2 p.m.
Desert Financial Arena
Gold ceremony is for graduates from programs in SCAI, SBHSE, MSN and SIE.
Undergraduate Convocation
Thursday, May 14, 7:30 p.m.
Mountain America Stadium
Bachelor’s degrees graduates from all schools will participate in this ceremony.
Volunteer polo shirt
Engineering convocation polos are given to all volunteers working at a ceremony. All FSE staff will receive a white polo and student volunteers will receive a maroon shirt. If you have one from a previous ceremony, please wear it. You will not be given another one. Thank you!
Volunteer meal
All volunteers will be provided with a full meal before the start of their shift at the venue. If you are volunteering for both ceremonies, you will receive two meals. Water will be available in large dispensers – please bring an empty water bottle with you!
Volunteer Training (required)
The volunteer training schedule will be as follows:
- Training for graduate ceremonies (maroon and gold):
Wednesday, May 6
1-3 p.m. - Training for undergraduate ceremony:
Monday, May 11
1-3 p.m.
You will receive a Zoom link via email one week prior to the session.
How to volunteer
We use a volunteer platform called VolunteerLocal to manage volunteer roles and responsibilities. Volunteers must register, but only once.
Returning volunteers
If you have registered VolunteerLocal previously, you can proceed to register for the roles on the FSE Volunteer Landing Page. Login to the FSE Volunteer website.
New volunteers
Please follow the steps below to complete the very short volunteer application.
Be prepared to provide the following information:
- ASU email
- First name, last name
- Classification (staff, student, faculty, etc.)
- If you are a student and student worker, your classification is student.
- Fulton Schools unit
- All FSE units are listed using an abbreviation (ECC=Engineering Career Center, LTH=Learning and Teaching Hub, etc.). If you are not part of FSE, you can select “other” and type in your unit.
- Mobile phone number
- Note: You will be given the option to consent to text messages. We encourage you to give your consent so if you are volunteering at an event and there is an emergency it can be quickly communicated. Or, if there is a last-minute time change you can be notified via text rather than referencing your email.
- T-shirt size
- Not all volunteering opportunities will come with a shirt. Should a role come with one, we will use the size you indicate in your volunteer profile.
- Dietary restrictions
- Not all volunteering opportunities come with food. Should a role include food, we will accommodate the dietary restrictions you indicate in your profile.

Within your profile, you can track your volunteer hours and modify/cancel registered shifts.

Volunteer role descriptions
All roles are to be filled by ASU staff. Student workers need prior approval.

Graduate check-in
Graduate Check-in volunteers staff the check-in tables and manage the flow where graduates arrive before entering to take their seats. There are four sub-roles for this task:
- Crowd control: Manage student lines and maintain order.
- Registered A–Z: Distribute physical cards to registered graduates.
- Grad Services desk: Assist unregistered graduates.
- Entrance/Exit Flow: Ensure attendees follow the proper entry and exit routes.
Graduate seating
Pre-ceremony grad seating volunteers guide graduates to their seats after check-in but before the ceremony begins. This role gives you a chance to hang out with graduates and congratulate the ones you personally know!
Faculty room
Faculty Room volunteers staff the faculty room and check-in the stage party, hand out necessary supplies, and manage the flow in the room. They also help lineup the stage party before walking them to the field/tunnel for the processional.
Stage flow
Stage flow volunteers guide graduates from the stage entrance ramp to the stage exit while monitoring their behavior. This role requires standing for 45 minutes.
Floor/field flow
There are two sub roles that fall within this area:
- Fit checker volunteers ensure graduates are dressed appropriately and have no unapproved items before entering the ramp to cross the stage, and they distribute diploma covers.
- Field/floor flow volunteers manage graduate movement to and from the stage during the ceremony. Role requires standing for one hour.
